    1. Introduction

At Solution Repair Group ("we", "us", "our"), we value your business and respect your privacy. This Privacy Policy explains how we collect, use, and protect your personal data when you use our networking platform, e-learning academy, website builder tools, and Crash Assist App.

For the purposes of the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Data (Use and Access) Act 2025, Solution Repair Group is the Data Controller.

    2. The Data We Collect

We collect data purely for business purposes to provide the services included in your membership or to process your crash report. This includes:

    Account Information

Name, job title, company name, email address, and phone number (if provided).

    Payment Information

Billing address and payment records (note: actual credit card details are processed securely by our payment provider and are not stored directly on our servers).

    Educational Data

Course progress, quiz scores, and "Certificate of Completion" records generated via our Solution Repair Group Academy.

    Website Builder Content

Text, images, and business details you upload to create your landing pages or business sites.

    Usage Data

Login timestamps and interaction logs to ensure the security and performance of the platform.

    2A. Crash Assist App Data

If you use our Crash Assist App (available at solutionrepairs.co.uk/crash-app or via location-specific URLs), we collect additional categories of personal data to process your accident report:

    Your Personal Details

Full name, phone number, email address, vehicle registration, make, model, colour, and insurance details (insurer name, policy number) as entered by you during the crash report wizard.

    Other Driver's Details

Name, phone number, vehicle registration, make, model, colour, and insurance details of the other party involved in the accident, as entered by you.

    Witness Information

Names, phone numbers, and email addresses of any witnesses you choose to record.

    Accident Scene Information

Free-text description of the accident, weather conditions, road conditions, and whether injuries occurred.

    Photographs & Video Evidence

Photos you take or upload of vehicle damage, the accident scene, number plates, and any other evidence. These images are uploaded to our secure cloud storage.

    Dash Cam Video Footage (Optional)

If you enable the optional Dash Cam feature, the app uses your device's rear-facing camera to maintain a rolling 20-second video buffer. If our crash detection system is triggered, this buffer is automatically saved and uploaded to our secure cloud storage as video evidence. You may choose not to activate this feature. Enabling Dash Cam requires your explicit permission to access the device camera.

    Location Data

With your permission, the app may collect your GPS location to record the accident location. Your postcode prefix (e.g., "HD1") is stored locally on your device to route you to your nearest approved repairer.

    Device Sensor Data (Crash Detection)

If you grant permission, the app accesses your device's accelerometer and gyroscope sensors to detect potential collisions. This sensor data is processed locally on your device in real-time and is not stored, transmitted, or retained. Only the fact that a crash event was detected (i.e., a trigger) is recorded.

2A(ii). Recording Other People (Dash Cam)

If you enable the Dash Cam feature, it may capture images or footage of other road users, pedestrians, or bystanders. Under UK GDPR, you (as the person operating the camera) are the data controller for any personal data captured in this footage. Solution Repair Group:

    • Stores the footage you upload solely for the purpose of processing your accident report.
    • Automatically deletes dash cam clips after 12 months.
    • Does not use facial recognition or attempt to identify third parties in the footage.
    • Is not responsible for your compliance with data protection law as the operator of the camera.

If you plan to use dash cam footage as evidence (e.g., in an insurance claim or legal proceedings), you should seek independent legal advice regarding your obligations under UK GDPR as a data controller.

2B. Who Your Crash Report Data Is Shared With

When you submit a crash report, your data is emailed directly to:

    • The local approved repairer you were connected with (e.g., the bodyshop owner in your area).
    • Chris Weeks (Solution Repair Group — platform administrator).
    • Matt Hall (Solution Repair Group — operational support).

Your crash report data is never sold, rented, or shared with any other third party for marketing or any purpose unrelated to processing your repair claim.

    3. Why We Process Your Data (Lawful Basis)

Under the UK GDPR, we process your data under the following lawful bases:

    • Contractual Necessity: We need your data to deliver the services you paid for (e.g., to grant access to training courses or to host the website you built).
    • Legitimate Interests: To maintain a directory of business members for networking purposes, to improve our platform's functionality, and to process crash reports to connect you with approved repairers.
    • Vital Interests: In the context of our Crash Assist App, where an accident may involve personal injury, we may process data to protect your vital interests or those of another person (UK GDPR Article 6(1)(d)).
    • Consent: For optional features such as the Dash Cam, camera access, and location services, we rely on your explicit consent which you may withdraw at any time.
    • Legal Obligation: To keep financial records for tax and accounting purposes (e.g., HMRC requirements).

    • Regular security audits.
    • Secure cloud storage for uploaded photographs and dash cam video clips.

We do not sell your personal data to third parties. Data is only shared with trusted sub-processors required to run the business (e.g., payment gateways like Stripe/PayPal, or hosting providers), and only under strict confidentiality agreements.

    6. Device Permissions (Crash Assist App)

The Crash Assist App may request the following device permissions. Each is entirely optional and you can deny or revoke them at any time through your device settings:

    • Camera: To take evidence photos and to enable the optional Dash Cam feature.
    • Location (GPS): To record the location of the accident.
    • Motion Sensors (Accelerometer & Gyroscope): To detect potential collisions for the crash detection feature. Sensor data is processed locally and never transmitted.

    7. Your Rights

    • The Right to Data Portability: You can request your data in a structured, commonly used format.
    • The Right to Object: You can object to our processing of your personal data where we rely on legitimate interests as the lawful basis.
    • The Right to Withdraw Consent: Where processing is based on consent (e.g., Dash Cam, location), you may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.

7A. Local Storage on Your Device

The Crash Assist App stores the following data locally on your device using browser Local Storage:

    • Your postcode prefix (to route you to your nearest approved repairer)
    • Cookie consent preference
    • Crash detection settings (sensitivity, enabled/disabled)
    • App install prompt preferences

This data is never transmitted to our servers. You can clear it at any time by clearing your browser data or using the "Change Area" feature within the app.

    8. Complaints Procedure

In accordance with the Data (Use and Access) Act 2025, we have established an internal complaints procedure. If you are unhappy with how we have handled your personal data:
