Most fleet accident policies fail for the same reason: they are four pages long and live in a folder nobody opens. What works is one page, in the glovebox and on the phone, that a shaken driver can follow at the roadside.
The five steps drivers need
- Make the scene safe. Hazards on, high vis on, everyone away from live traffic.
- Check for injuries and call 999 if anyone is hurt, the road is blocked or the other party leaves without giving details.
- Exchange details. Name, address, registration, insurer and policy number. Never discuss blame or apologise for fault.
- Photograph everything. Wide shot of the scene, both vehicles, all damage, the other registration, road layout and any witness details.
- Ring the office and the repairer the same day. One number, printed on the page.
What the office does next
A named person logs the incident, decides whether the vehicle is safe to drive, arranges a replacement if needed and sends the photos for an estimate. Recording every incident, even small ones, is what lets you see which routes, sites or vehicles keep generating damage.
Give drivers the tools
The Solution Repair Crash App walks a driver through exactly these steps on their phone, captures the photos and details in the right order, includes a dash cam, and calls the nearest approved repair centre in one tap. The report lands with the repairer and with you, which removes the usual week of chasing.
Train it once a year
Ten minutes at a team briefing, with a real example, beats a policy document nobody reads. Ask each driver to show you the app on their phone and the card in their van.
