How to use these forms properly

    1. 1

Put a folder in every vehicle

A daily walkaround sheet, a defect report and an accident report form in each glovebox means your drivers never have to hunt for paperwork at the worst possible moment.

    2. 2

Make the daily check a habit

The check should happen before the first journey of the day, not at the end. Anything marked as a fail comes off the road until it is signed back on.

    3. 3

Close the loop on every defect

A defect report is only worth having if the rectification section is completed and signed. That is the evidence that proves you acted.

    4. 4

Keep the records for 15 months

DVSA guidance is to hold walkaround and defect records for at least 15 months. Scan them into a shared folder each month so nothing gets lost in a van door pocket.
